What connects

The spreadsheet can act as a database for the agent.

Google Sheets is useful when the company wants to keep operational data in a simple, editable place by the team and synchronized with Whatsplaid for more up-to-date responses.

Tables

Structured data

Products, services, prices, deadlines, units, regions, rules, and lists can be organized into columns.

Operation

Update by the team

The operation itself can edit the spreadsheet without relying on deploy, recurring manual import, or custom system.

Synchronization

Always renewed base

The system constantly syncs the spreadsheet so that the bot responds based on the updated content.

IA

Contextual responses

The agent uses the spreadsheet as a reference to reduce generic responses and guide the customer with real data.

When to use

Google Sheets is a quick bridge between operation and AI.

It doesn't need to replace a complete system but can serve as a practical database for information that changes frequently and needs to reach customer service.

Common questions about Google Sheets and Whatsplaid.

Does Google Sheets turn into a database?

It can behave as a database for the agent, mainly for simple tables and operational information. The difference is that the team continues editing everything in Google Sheets, while Whatsplaid syncs the content for the AI to consult.

Is the synchronization real-time?

The system constantly syncs the spreadsheet. In practice, this keeps the bot's base close to the updated spreadsheet content, without requiring manual file resending after each change.

Does the agent always respond with the updated spreadsheet?

The goal is for the agent to respond based on the most recent synchronized version. Therefore, after significant changes, it's worth validating responses in the panel before relying on them in production.

What kind of information can I put in the spreadsheet?

Catalogs, prices, availability, policies, FAQs, units, hours, served regions, business rules, and internal data that help the agent respond better.

Do I need to choose a specific tab?

The current flow automatically prepares the first available tab of the spreadsheet for synchronization. Therefore, the main tab should be clean, organized, and ready for consultation.

When is it better to use API instead of Google Sheets?

Use API when you need to query transactions, orders, stock, or complex rules in real-time in the original system. Use Google Sheets when the operation requires a simple, editable, and synchronized database.
