Google Sheets Integration

Use Google Sheets as a live base for AI on WhatsApp.

The integration allows connecting a spreadsheet to Whatsplaid so that the agent consults updated data before responding to customers, leads, and services on WhatsApp.

The team maintains the data in Google Sheets.

02

Whatsplaid uses the processed version of the source.

03

The customer receives guidance on WhatsApp.

Scope of the integration

What this connection does and what are its limits.

See how the data flows, what requirements apply, and what depends on the chosen configuration.

Modality

Direct connection with Google Sheets through the Knowledge Base

Queried data

Data from the selected spreadsheet prepared as the agent's source.

Records created or updated

The connection uses the spreadsheet as a reference source and does not promise to create or modify cells.

Direction

Google Sheets → Knowledge Base → agent responses.

Trigger and frequency

The spreadsheet is processed after the connection and begins to function as the agent's source.

Pre-requisites

Authorized Google account, accessible spreadsheet, and data organized in clear columns.

Required plan

Availability and processing limits according to the contracted plan.

Limitações

Response quality depends on the structure, clarity, and update of the spreadsheet; it does not equate to querying the entire system in real-time.

Step by step

How to activate integration with Google Sheets.

In ADMIN, Google Sheets enters the Knowledge Base of the assistant. After connecting the Google account, the selected spreadsheet is automatically synchronized.

STEP 01

Connect your Google account

In the Whatsplaid dashboard, connect your Google account to enable spreadsheet selection in the Knowledge Base module.

STEP 02

Choose the spreadsheet

Select the spreadsheet the agent should use. ADMIN automatically prepares the first available tab for synchronization.

STEP 03

Organize the data

Use clear columns for information such as products, policies, deadlines, prices, responses, units, rules, availability, or internal lists.

STEP 04

Synchronize the database

After selection, synchronization starts automatically and the spreadsheet is sent for processing in the Knowledge Base.

STEP 05

Test real questions

Verify that the agent responds correctly using the data from the spreadsheet before releasing the flow to customers.

What connects

The spreadsheet can act as a database for the agent.

Google Sheets is useful when the company wants to keep operational data in a simple, editable place by the team and synchronized with Whatsplaid for more up-to-date responses.

Tables

Structured data

Products, services, prices, deadlines, units, regions, rules, and lists can be organized into columns.

Operation

Update by the team

The operation itself can edit the spreadsheet without relying on deploy, recurring manual import, or custom system.

Synchronization

Always renewed base

The system processes the spreadsheet as the agent's source; the exact update frequency needs to be confirmed.

IA

Contextual responses

The agent uses the spreadsheet as a reference to reduce generic responses and guide the customer with real data.

When to use

Google Sheets is a quick bridge between operation and AI.

It doesn't need to replace a complete system but can serve as a practical database for information that changes frequently and needs to reach customer service.

Common questions about Google Sheets and Whatsplaid.

Does Google Sheets turn into a database?

It can behave as a database for the agent, mainly for simple tables and operational information. The difference is that the team continues editing everything in Google Sheets, while Whatsplaid syncs the content for the AI to consult.

Is the synchronization real-time?

The spreadsheet is processed as the agent's source. Responses will consider the data provided by the connection.

Does the agent always respond with the updated spreadsheet?

The goal is for the agent to respond based on the most recent synchronized version. Therefore, after significant changes, it's worth validating responses in the panel before relying on them in production.

What kind of information can I put in the spreadsheet?

Catalogs, prices, availability, policies, FAQs, units, hours, served regions, business rules, and internal data that help the agent respond better.

Do I need to choose a specific tab?

The current flow automatically prepares the first available tab of the spreadsheet for synchronization. Therefore, the main tab should be clean, organized, and ready for consultation.

When is it better to use API instead of Google Sheets?

Use API when you need to query transactions, orders, stock, or complex rules in real-time in the original system. Use Google Sheets when the operation requires a simple, editable, and synchronized database.
